1. Data we collect

TranslateUK collects and processes data necessary to provide the service. We do not sell your data.

Account data

  • Name and email address
  • Organisation details
  • Login activity

Operational data

  • System usage logs
  • Data you submit through integrations you enable

AI interaction data

  • Prompts submitted to AI features
  • Generated responses

2. Purpose of data processing

Data is processed to:

  • Operate the service
  • Improve functionality
  • Provide AI features
  • Maintain security
  • Support your account

3. Data storage

Data is securely stored using cloud infrastructure providers. Security measures include encrypted storage, role-based access control, audit logging, and secure authentication systems.

4. Data retention

Data is retained only as long as necessary to provide the service. You may request deletion of your account and associated personal data at any time. Some operational records may be retained for legal or security purposes.

5. Cookies and local storage

We use essential cookies and browser local storage to maintain your session and remember your preferences.

Essential cookies

Required for the platform to function. These cannot be disabled.

Analytics cookies

Used to understand how users interact with the platform. These are only set with your consent. You can manage preferences through the cookie banner or your browser settings.

6. GDPR compliance

Under GDPR, your organisation is the Data Controller and Translate UK is the Data Processor. We process data only according to your instructions.

Data Processing Agreement

Translate UK enters into a Data Processing Agreement (DPA) with each customer as required under Article 28 of the GDPR. A copy of the DPA is available on request.

Data breach notification

In the event of a personal data breach, Translate UK will notify affected customers without undue delay and no later than 72 hours after becoming aware of the breach.

International data transfers

Customer data is primarily stored and processed within the United Kingdom and European Economic Area (EEA). Where data is transferred outside the UK or EEA, appropriate safeguards are in place including UK International Data Transfer Agreements (IDTAs) and EU Standard Contractual Clauses (SCCs).

7. Your rights

You may request:

  • Access to your personal data
  • Correction of inaccurate data
  • Deletion of your personal data
  • Restriction of processing

You can also export your data and delete your account from your account settings. Deletion is permanent.

8. AI and your data

Data submitted to AI features is used solely to generate responses for you. It is not used to train or fine-tune AI models and is not shared with other customers. AI prompts and responses are retained for a maximum of 30 days for service quality and debugging purposes.

9. Security

Translate UK takes reasonable measures to protect your data including encrypted storage, restricted internal access, infrastructure security monitoring, and authentication and access controls.
